How to choose dental RCM software

Every vendor says it will get you paid faster. These ten questions show which ones will, for an office like yours. Ask them of anyone, us included.

The ten questions

  1. Can I see my own number before the sales call?A tool that finds money should be able to show you some on your own report. If the first step is a demo, ask for a sample run on your aging report.
  2. Does it check payments against my PPO contract, or only sort denials?Denials are visible. Underpayments and downcodes hide inside paid claims, and they add up.
  3. Who approves what goes to the insurer?Corrected claims and appeals carry your name. A person in your office should approve each one.
  4. Does it follow the payment to my bank deposit?A posted payment isn't money in the bank. Virtual-card fees and missing deposits show up only when payments are matched to the bank.
  5. What does it cost, and is the price published?Published pricing means every office pays the same. Ask whether you can pay on results first.
  6. Does the vendor work for insurers too?Some companies in dental AI sell to both sides. Ask in writing who their customers and investors are.
  7. Where does patient data live, and will they sign a BAA?Any vendor that touches patient data must sign a business associate agreement. Ask where data is stored and who can see it.
  8. Does it work with my practice software?Open Dental, Dentrix and Eaglesoft exports are the minimum. Ask what is read, what is written back, and how often.
  9. Does it work for a billing company with many offices?If you outsource billing, your biller needs one workspace across all clients, with each office's data kept apart.
  10. What happens when it isn't sure?Good software says “verify” instead of guessing an insurer rule or a filing limit.
